This position performs a variety of advanced administrative functions and is responsible for direct support to the Office Managing Partner (OMP) and oversight of Seattle administrative team.  The incumbent is responsible for directing and coordinating office services and project coordination administrative services and related activities for offices with generally less than 100 employees.  May also be responsible for coordinating, directing and supervising the office support staff in the day-to-day operations at a location(s).  This is a working supervisor position.




  • Provides advanced administrative support to a department or group of professionals, including but not limited to filing, archiving, correspondence, calendar management, completing travel and expenses, preparing and distributing documents, and photocopying. Routinely handles confidential correspondence, personnel and financial reports, and other information.  Schedules appointments and gives information to callers.  Composes memos, transcribes notes and researches.
  • Managing and coordinating project timelines for Office Managing Partner (OMP); compiling data in eCRM and running reports; and creating opportunities and preparing monthly updates as eCRM point of contact
  • Creating and preparing advanced proposals and PowerPoint decks; formatting and editing; and knowledge of inserting graphics and animation; follow firm branding guidelines and maintain logging system
  • Provides effective leadership to employees and/or teams through:  interviewing, orienting, and training; communicating performance expectations & providing feedback on performance, recognition, coaching, employee counseling reports and/or discipline including recommending termination to leadership; creating career growth opportunities and employee development plan
  • Supervises office support staff and schedules workload, ensuring that adequate coverage is available
    • Helps evaluate support staff performance, and provides coverage for administrative shortages
  • Planning and coordinating occasional office events
  • Scheduling and preparing for team meetings and ordering catered breakfast and lunch
  • Managing office equipment and supply needs (printers, phone/conferencing, audio/video equipment, kitchen and office supplies, etc.)
  • Point of contact with office building and handling facility matters (maintenance requests, communications, business cards, access cards, seating assignments, and parking, etc.)
  • Coordinating Busy Season meals
  • Serves as a resource for staff who have questions regarding office policies and procedures
  • Other duties as assigned


Required Qualifications:

  • Associate's degree or equivalent experience
  • 5+ years’ experience in a related field or area
  • Previous project or team management experience
  • Advanced Microsoft Office skills essential – Excel with use of formulas and Word strong formatting, merge documents, styles, section breaks, headers/footers, tables of content
  • Ability to prepare presentations including charts, diagrams, and tables, speaker notes and handouts, etc.
  • Excellent oral and written communication skills (spelling, grammar, sentence structure and punctuation)
  • Effective organization and time management skills; and follow procedures
  • Manage multiple projects/tasks and shift priorities as necessary to meet deadlines
  • Strong attention to detail and proofread for accuracy and finalize documents; maintain confidentiality
  • Ability to take direction, ask appropriate questions and complete tasks independently and work as a team player
