In this position, you will be responsible for a variety of advanced administrative functions for multiple lines of business. This includes routinely developing presentations and advanced spreadsheets, managing multiple projects involving complex and confidential data. This position is also responsible for coordinating and executing line of business specific procedures. Qualified candidates will possess the following:

  • 5 to 7 years Senior level administrative support experience
  • Flexible demeanor, pro-active thinker with positive client focused attitude
  • Previous experience in a professional services environment a plus, but not required
  • Advanced Microsoft Office 2013 skills essential
  • Effective organization and time management skills
  • Capable of analyzing moderately complex and confidential data
  • Excellent proofreading skills
  • Continuously seeks ways to improve efficiency
  • Aptitude to create and work with advanced spreadsheets using PivotTables, Lookup, and IF statements
  • Strong written and verbal communication skills
  • Capacity to see and understand the big picture to determine approach for completion of fine details
  • Ability to manage multiple tasks and shift priorities as necessary to meet deadlines
  • Ability to take direction, follow procedures, and ask appropriate questions
  • Can complete tasks independently as well as work collaboratively with the team
  • Ability to handle stress while operating with a sense of urgency and using good judgment


  • Provides high level administrative support to all lines of business
  • Handle filing, archiving, correspondence, faxing, scanning, preparing and distributing documents, and photocopying
  • Generating assembling audit reports
  • Analyze monthly work in progress reports and generate monthly invoices
  • Process tax returns, extensions, estimates, tax organizers and engagement letters
  • Maintain e-file and due date systems for tax returns
  • Process response letters to IRS and State Department of Revenue Taxpayer Notices
  • Process Audit arrangement letters, proposals, and reports
  • Calendar management, travel/event planning, meeting/conference arrangements (food, hotel, air)
  • Prepare and finalize proposals and documents with a strong working knowledge of formatting, merge documents, styles, section breaks, headers/footers, tables of contents and more in Microsoft Word
  • Create, update, and prepare presentations; including charts, graphic and tables, speaker notes and handouts in Power Point
  • Create spreadsheets including formulas, charting and graphing data in Microsoft Excel
  • Edit PDF documents, including electronic signatures, typewriter and edit functions within PDF, custom electronic stamps, and virtual company letterhead
  • May coordinate with Office Services staff to ensure adequate support is available throughout the day for area of responsibility
  • Assist partners to associates with a variety of daily tasks
  • Sales and Marketing Support

    • Data maintenance in related databases

    • Creating specialized reports within contact management system

    • Implement specific marketing projects with support by the marketing team

    • Administrative support for trade shows, seminars and sponsorships lead by respective department/office teams and marketing managers

    • Assistance in developing proposal and presentation materials for opportunities and pursuits

  • Participate in team meetings and activities
  • Assist with onboarding new staff

  • Manage office equipment and supply needs

  • Coordinate all office/building facilities matters (maintenance requests, communications, security)

  • Serve as resource for staff who have office policy questions

  • Other duties as assigned
