In this position, you will be responsible for a variety of advanced administrative functions likely for multiple lines of business; generally for a line of business or natural work team leader. This includes routinely developing presentations and advanced spreadsheets, managing multiple projects involving complex and confidential data, and providing guidance and assistance to other administrative assistants. This position is also responsible for coordinating and executing line of business specific procedures. This includes, but is not limited to: collating, assembly, scanning and monitoring tax control logs and reports. Qualified candidates will possess the following:

  • 5 to 7 years relevant administrative support experience

  • Previous experience in a professional services environment a plus, but not required

  • Advanced Microsoft Office 2013 skills essential

  • Effective organization and time management skills

  • Seeks ways to improve efficiency

  • Ability to prepare presentations including charts, graphic and tables, speaker notes and handouts, etc.

  • Drafting proposals with the aid of styles tools

  • Creating and working with advanced spreadsheets using PivotTables, Lookup, and IF statements

  • Generating assembling audit reports and/or tax arrangement letters

  • Strong written and verbal communication skills

  • Experience utilizing office technical tools, including office scanners, printers, labeling machines and copiers

  • Demonstrates a working knowledge of the technical tools required within assigned responsibilities

  • Ability to manage multiple tasks and shift priorities as necessary to meet deadlines

  • Flexible demeanor, pro-active thinker, positive attitude, maintains confidentiality

  • Ability to take direction, follow procedures, and ask appropriate questions  

  • Can complete tasks independently as well as work collaboratively with the team

  • Ability to handle stress while operating with a sense of urgency and using good judgment          

  • Fluent Spanish speaker a plus

Responsibilities:

  • Provides administrative support to all lines of business

  • Handle filing, archiving, correspondence, faxing, scanning, preparing and distributing documents, and photocopying

  • Process tax returns, extensions, estimates, tax organizers and arrangement letters  

  • Maintain e-file and due date systems for tax returns

  • Process response letters to IRS and State Department of Revenue Taxpayer Notices

  • Process Audit arrangement letters, proposals, and reports

  • Calendar management, travel/event planning, meeting/conference arrangements (food, hotel, air)

  • Prepare and finalize proposals and documents with a strong working knowledge of formatting, merge documents, styles, section breaks, headers/footers, tables of contents and more in Microsoft Word

  • Create, update, and print handouts in Power Point

  • Create spreadsheets including formulas, charting and graphing data in Microsoft Excel

  • Edit PDF documents, including electronic signatures, typewriter and edit functions within PDF, custom electronic stamps, and virtual company letterhead

  • Routinely compiles, collects, and analyzes moderately complex and confidential data for projects

  • May coordinate with Internal Client Service staff to ensure adequate support is available throughout the day for area of responsibility

  • Assist partners to associates with IT Service Tickets from initiation to resolution

  • Maintain client information in multiple computer applications, organizational systems: electronic and paper

  • Serve as a back-up to other administrative assistants, reception desk and file room when needed

  • Serves as a resource or “go to” for staff questions regarding office policies and procedures

  • Participate in team meetings and activities

  • Other duties as assigned
