In this position, you will be responsible for performing a variety of administrative support functions for a designated group of external client servers. This includes scheduling appointments, gathering and manipulating data in excel, managing travel, giving information to callers, typing and formatting memos, transcribing notes, and researching and developing presentations from templates. Provides administrative support to a department or group of professionals, including but not limited to filing, scanning, calendar management, faxing, preparing and distributing documents, and photocopying.
Creates correspondence, presentations, proposals, reports and documents of a basic and sometimes complex nature using templates or report processing equipment and multiple software packages (i.e., MS Word, PowerPoint and Excel). May produce final product of document including proofing, printing, copying, collating, folding, and binding.
Coordinates and executes efficient tax process, including collating, assembly, scanning, e-filing, maintaining due date system and monitoring tax control logs and reports.
Inputs, formats, and revises documents
Proofs, edits and checks work for completeness, accuracy and formatting. Verifies that the project follows the style and branding guide and the format is correct.
Create and work with spreadsheets using basic calculations.
Schedules appointments and gives information to callers.
Calendar management, travel/event planning, meeting/conference arrangements (food, hotel, rooming lists)
Assist in front desk/receptionist rotation
Assist in incoming and outgoing mail rotation
Maintain, request postage funds and supplies for the postage meter
Assist in the record retention process
Assist in the pick-up and drop-off of documents at client site
Assist in large mailings to clients
Other duties as assigned
Qualified candidates will possess the following:
2+ years relevant administrative assistant experience
Previous experience in accounting or professional service environment a plus
Intermediate to advanced Microsoft Office 2013 skills essential
Strong oral and written communication skills (spelling, grammar, sentence structure and punctuation)
Effective organization and time management skills, follow procedures, improve efficiency
Ability to manage multiple tasks and shift priorities as necessary to meet deadlines
Flexible demeanor, pro-active thinker, positive attitude, maintains confidentiality
Ability to prepare presentations including changes, graphics and tables, speaker note and handouts to include proofread for accuracy and finalize documents professionally, strong attention to detail
Ability to take direction, ask appropriate questions and complete tasks independently
Ability to handle stress while operating with a sense of urgency and using good judgment
