Support leadership meetings:

  • Plan meeting logistics (conf room location and requirements, hotel selection, meals, entertainment)

  • Proactively communicate to leaders re meeting logistics (where to stay, when to arrive, what to expect…)

  • Attend leadership meetings, take and distribute notes, capture action items and drive closure to action items

  • May also need to travel for other meetings 

    • Travel expectation 3 – 4 days per month

Manage Calendar

  • Be a go-to to get on Partner’s calendar

  • Identify and reschedule conflicts

  • Proactively / independently Accept / decline invites on Partner's behalf

  • Proactively / independently Request reschedules on Partner's behalf

  • Be a gate for people wanting time on your calendar

  • Ensure preparedness for upcoming meetings

Support meetings

  • Gather / document information for meeting objectives and agenda

  • Schedule meetings

  • Attend meetings, take notes, capture action items and drive closure to action items  

Manage travel

  • More than just booking travel, need to monitor Partner's flights and proactively seeking to rebook, etc.. if flights are delayed, connections will be missed, etc..

Coordinate activities

  • FY Planning

  • PowerPoint creation

  • Visa

Manage action items

  • Those from meetings

  • Keep comprehensive list of items, reviewing with the Partner on a regular basis, ensuring prioritization and closure

    • Partner would like a shared task list, editable by himself, the EA and Director

  • Monitor deadlines set by others

  • Follow up on requests Partner has made of others

    • If copied on request, proactively monitor to ensure closure
