In this position, you will be responsible for a variety of advanced administrative support for Technology Management Consulting and our Davenport location. This includes developing presentations and advanced spreadsheets, managing multiple projects involving complex and confidential data, and providing assistance to other administrative assistants. Qualified candidates will possess the following:

  • 5 to 7 years relevant administrative support experience

  • Project management

  • Advanced Microsoft Office 2013 skills essential

  • Effective organization and time management skills, follow procedures, improve efficiency

  • Ability to prepare presentations including charts, graphic and tables, speaker notes and handouts, etc.

  • Creating and working with advanced spreadsheets

  • Excellent written and verbal communication skills

  • Demonstrates a working knowledge of the technical tools required within assigned responsibilities

  • Ability to manage multiple tasks and shift priorities as necessary to meet deadlines

  • Flexible demeanor, pro-active thinker, positive attitude, maintains confidentiality

  • Ability to take direction, follow procedures, and ask appropriate questions 

  • Can complete tasks independently as well as work collaboratively with the team

  • Ability to handle stress while operating with a sense of urgency and using good judgment          

Responsibilities

 

  • Provides advanced administrative support to Technology Service Consulting professionals as well as filing, archiving, correspondence, faxing, binding, preparing and distributing documents, and photocopying
  • Calendar management, travel/event planning, meeting/conference arrangements (food, hotel, rooming lists)
  • Provide project management and hands-on support to drive various strategic and ongoing practice development initiatives including: CRM processes and pipeline reporting, organizing training events and team meetings
  • Help finalize complex proposals and prepare documents with a strong working knowledge of formatting, merge documents, styles, section breaks, headers/footers, tables of contents and more in Word; Create, update, print and bind presentations, including charts, graphics and tables, speaker notes and handouts in Power Point; Create spreadsheets from scratch with ease including formulas, manipulate data comfortably with accuracy in Excel
  • Track proposal process (proof, format and issue)
  • Maintain client information in multiple computer applications, organizational systems
  • Serve as a back-up to other administrative assistants as well as the Reception Desk, rotating coverage
  • Serves as a resource or “go to” for staff questions regarding office policies and procedures
  • Participate in team meetings and activities
  • Manage day-to-day department operations in cooperation with the Office Services Manager
  • Act as back-up to Office Services Manager and departmental Administrative Assistants as needed
  • Ensure adequate coverage when Administrative Assistants are taking vacation, sick, in training, etc.
  • Ensure compliance with departmental policies and procedures
  • Other duties as assigned
